A Group/Extended Travel (GET) Card is a type of university purchasing card (PCard). The university-required procedure for obtaining a GET card is a minimum five-week, multi-step process involving internal offices and the university contracted credit card company.
1. Training (30-60 minutes)
- Resident director completes “Global Education Finance 101” training in BuckeyeLearn
- Must score 100% on the quiz at the end of the training
- Must complete training before steps three through 10 can happen
2. Spend plan (10 business days)
- Program specialist creates spend plan (list of approved program expenses)
- Office of International Affairs (OIA) program manager and Office of Academic Affairs Business Services and Finance reviews
3. Spend authorization creation (three to seven business days)
- OAA Business Services creates individual spend authorization for each resident director
4. Acknowledgement of Understanding form
- Workday sends resident director notification for university-required International Acknowledgement of Understanding form
- OAA Business Services will not initiate PCard application until resident director signs form in Workday
5. Spend authorization approvals (three business days)
- Spend authorization routed through multiple offices
- Resident director approves spend authorization in Workday
6. GET Card application
- OAA Business Services routes PCard MOU in DocuSign
- Resident director signs
- OAA Business Services initiates PCard application in Workday
- Multiple people/offices must approve the application
7. PCard approval (three to seven business days)
- After collecting all signatures, PCard office sends OAA Business Services an email notification of PCard application approval
8. University contracted credit card company (10 business days)
- University contacted credit card company processes PCard application, and prints and mails the GET Card to the PCard office
9. Card pick-up
- PCard office sends OAA Business Services an email notification that GET Card is ready
- OIA program managers collect the GET Card and reach out to resident director about pickup
10. PIN
- GET Card PIN arrives at OIA's office (2009 Millikin Rd, Columbus, OH 43210)
- OIA program manager team communication PIN # to resident directors
11. Upon completion of the program
- Expense report will be required within 10 days to reconcile GET Card transactions
- If finds from a GET Card withdraw are unused, contact globaledbusops@osu.edu to discuss how to return funds (must be in USD)
