Guidelines for Developing Global Education Programs

Overview

The Office of International Affairs serves as a university-wide resource for access, administration, development and risk oversight of university study abroad programming.

The processes for new program approval and reauthorization of continuing programs are designed to promote and maintain the integrity of Ohio State study abroad programming. Before initiating or continuing any study abroad activity, Ohio State faculty and administrators must obtain approval from the department chair (or designee), the college dean or designee and the college fiscal officer.

Developing study abroad programming for academic credit

Prior to submitting a proposal, you are required to schedule a meeting with the appropriate Office of International Affairs staff and the study abroad liaison for your college.

(For guidelines and information on developing non-credit bearing international opportunities for Ohio State students (e.g. alternative break), please refer to the Group International Travel Guidelines.)

There are three basic types of credit-bearing study abroad opportunities:

Ohio State faculty-led programs

Programs initiated and designed by Ohio State academic units for Ohio State students. Contact Kyle Sturges, associate director of global education and the appropriate college study abroad liaison.

Proposal deadlines vary by term

  • Autumn (including winter break programs): October 1 of the previous academic year
  • Spring (including spring break programs): February 1 of the previous academic year
  • Summer: February 1 of the previous academic year

Submission and review process

Completed proposals should be submitted to Kyle Sturges, associate director of global education. Office of International Affairs global education and global health and safety teams review proposals for risk, feasibility and other aspects of implementation only. International Affairs approval is contingent upon appropriate curricular and fiscal approval(s) in the sponsoring college(s)/department(s), International Travel Review Committee (ITRC) review and other university input as needed. Submission of a new faculty-led program proposal does not guarantee approval and proposers should anticipate feedback from reviewers and be prepared to offer clarifications and/or make program adjustments prior to receiving approval. Do not make any program arrangements prior to receiving a decision on your proposal and guidance on next steps.

Third-party provider programs

Programs managed by another U.S. or educational organization that are selected by an Ohio State academic unit. Contact Jenny Kraft, program specialist, global education, and the appropriate college study abroad liaison.

Proposal deadlines vary by term

  • Summer: May 1 of the previous academic year
  • Spring: January 1 of the previous academic year
  • Autumn: August 1 of the previous academic year

Student exchange programs

Programs initiated by an Ohio State academic unit, requiring the university to enter into an international exchange agreement with an international institution. Contact Elizabeth Angerman, program manager for international partnerships, and the appropriate college study abroad liaison.

Every new agreement will have an estimated term start date based on when the agreement is signed:

Agreement signed on or beforeEarliest semester for outbound participationFor example
January 1Spring semester of the following academic yearJanuary 1, 2025 = Spring 2026
May 1Spring semester of following academic yearMay 1, 2025 = Spring 2026
August 1Fall semester of following academic yearAugust 1, 2025 = Fall 2026

Ongoing program management

Once a program has been approved and has run successfully, academic units will be required to determine if the program will be offered again through the reauthorization for continuing study abroad programs process.
